Details

Duties and Responsibilities:

  • Takes dictation in shorthand, speedwriting, or fast longhand or transcribes from dictaphone to produce letters, memos, proposals, statistical material, or reports in draft or final form.  Proofreads and corrects documents.
  • Performs data entry as required.
    • Answers telephone, routes calls, takes messages, schedules appointments and arranges meetings.  Takes minutes as needed, transcribes and distributes as to attendees.  Establishes and maintains office filing system.  Maintains petty cash fund, reconciles and files for reimbursements.  Maintains and submits payroll timesheets.
    • Sorts and distributes incoming mail, prepares outgoing mail for mailing.  May be required to prepare large mailings. 
      • Maintains office supply inventory, prepares orders for office supplies, equipment, and other items.  Contacts outside agencies to solicit information and assistance.
      • Compile statistical reports and other claim forms.  Provides relief assistance for switchboard operator when necessary. 
      • Implements office administration procedures as directed by supervisor
      • Performs all other duties as requested.

 

Requirements:

  • High School graduate or equivalent.
  • Ability to type a minimum of 65 wpm.
  • Must be computer literate, including ability to learn and use program-specific software.
  • Proficient in Windows 95, WordPerfect 6.0, MS Word, Excel, Email, Lotus, PDS or willingness to learn
  • Uses electric typewriter, computer, photocopier, fax, calculator, postage meter and other office equipment.
  • Good grammar, spelling and arithmetic skills
  • Clear, precise telephone voice.  Ability to operate switchboard.
  • Ability to speak second language (Yiddish, Russian...) helpful.
  • Sensitivity for and understanding of the needs of the elderly.
  • Minimum 2 years secretarial or other clerical experience
