DUTIES AND RESPONSIBILITIES:

Under supervision of the Program Directors for Queens APS, LSEQ and LEAP, responsible for:


● Collecting data/information/statistics from the various programs and preparing required reports for submission to DFTA, APS and JASA.
● Responsible for completing intakes for clients referred for legal services provided by LSEQ.
● Maintaining timesheets and completing payroll submission for Queens Services Staff
● Typing letters, memos, forms, records, reports and other matter from typed or written material using a computer
● Maintaining log of clients receiving legal services, preparing case documents
● Responsible for programs’ petty cash, this includes safeguarding cash, making disbursement, and reconciling petty cash on monthly basis
● Preparing invoices for payment and submitting them to Accounting Department
● Maintaining office telecommunications system, copiers and faxes, assuring all equipment is in proper working order
● Taking weekly inventory and ordering office supplies
● Manage the front-desk reception functions and mailroom
● Act as liaison and negotiator with building management and service providers
● Organize and plan Annual Queens Seder including booking the caterer and location, handling participant registration, lining up the transportation for clients, overseeing the Seder on the day of the event
● Maintaining log of clients receiving APS services, preparing case documents for the casefiles, delegating APS tasks to support staff, and other APS items/duties.
● Overseeing and maintaining APS/Legal items to be sent to storage and/or retrieval of casefiles.
● Supervise APS secretary/receptionist, two DFTA Title V workers and JASA volunteers
● Performs such other duties as assigned.





SPECIALIZED SKILLS AND COMPETENCIES:
(ii) Knowledge and skill in the use of software applications and data bases, including STARS and APS database.

(iii) Skill in communicating effectively using a variety of processes. Ability to demonstrate tact and persuasion when appropriate.
(iv) Skill in organizing, tracking and prioritizing assignments and tasks.
(iv) Knowledge of fiscal/budgetary practices
(v) Knowledge of supervisory principles and practices.

QUALIFICATIONS:
1) College degree or certificate in Business, Human Resources, Public Administration, or other related human service or business subject.
2) Four (4) years related office and/or human resource experience, two (2) of which in a manager/supervisory capacity.
3) Computer skills including Excel, Lotus, Word. Knowledge of Peerplace and APSNet a plus.
